The Role
We are looking for a dynamic and organised individual to join our team as the Office Manager on a part time basis. This hybrid role requires a highly adaptable person who thrives in a fast-paced environment and can juggle various responsibilities from overseeing office operations to providing administrative support to executives. The ideal candidate will have excellent communication skills, a strong attention to detail, and the ability to interact with customers, visitors, and employees in a professional and friendly manner. 
 
Responsibilities 
 
Front of House:  
  • Greet visitors, clients, and employees in a professional, courteous, and friendly manner.
  • Answer, screen, and direct incoming calls efficiently.
  • Handle enquiries and direct them to the appropriate department.
  • Maintain the reception area, ensuring it is always tidy, welcoming, and well-stocked with necessary materials.
  • Coordinate and manage meeting room bookings, ensuring all facilities are set up according to the needs of the meetings.
  • Ensure the security protocols are followed by all visitors.
Office Management: 
  • Monitor &maintain site security, monitoring perimeter CCTV. Liaise with assigned outsourced security provider, to support incident logging and allowing access to any retained CCTV footage as required
  • Manage office and marketing supplies, ensuring stock levels are maintained, and orders are placed as needed.
  • Coordinate office maintenance, including liaising with facilities, H&S, vendors and service providers.
  • Oversee the cleanliness and organisation of common office spaces.
  • Manage incoming and outgoing mail and packages.
  • Organise travel arrangements and accommodations for staff and guests.
  • Ensure the office environment is well-equipped and conducive to a productive work environment.
  • Assist with tasks such as onboarding new employees and organising team events.
Personal Assistant (PA) to Executives: 
  • Provide comprehensive administrative support to senior management, including scheduling and managing calendars, appointments, and meetings.
  • Organise travel itineraries, hotel accommodations, and other logistics for business trips.
  • Maintain confidential information and handle sensitive documents with discretion.
About you
  • Proven experience as a front-of-house receptionist, office manager, or personal assistant (or similar roles).
  • Strong organisational and multitasking skills.
  • Excellent communication and interpersonal skills, with the ability to work well with colleagues, clients, and visitors.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Exceptional time management skills and the ability toprioritisetasks effectively.
  • Ability to handle confidential information with discretion.
  • Strong problem-solving skills and ability to work independently.
  • Familiarity with event coordination and office health & safety practices.
  • A proactive attitude and the ability to anticipate the needs of the team and executives.
  • SIA license will be arranged.
